Welcome to EdocSmart (“Company”, “we”, “our”, “us”).

These Terms and Conditions (“Terms”) govern your access and use of EdocSmart’s web and mobile applications, including all related services, products, and APIs (collectively referred to as the “Platform”).

About EdocSmart

EdocSmart is an AI-powered document scanning and data extraction platform. We enable users to upload or scan invoices, bills, or similar documents, automatically extract relevant data (such as invoice number, amount, GST details, etc.), and export results in various formats (Excel, CSV, PDF, etc.).

Eligibility

To use EdocSmart:

  • You must be at least 18 years old and capable of entering into a binding agreement.
  • You must comply with all applicable laws and regulations in your jurisdiction.
  • Business or enterprise users must ensure they are authorized to bind their organization to these Terms.

EdocSmart provides:

  • Document scanning
  • OCR extraction
  • Custom business reports
  • We do not offer accounting or legal advice.

Account Registration

  • You must create an account to access EdocSmart’s features.
  • You are responsible for maintaining the confidentiality of your login credentials
  • You must immediately notify us if you suspect unauthorized access to your account.
  • EdocSmart is not liable for any loss or damage resulting from unauthorized account use.

Services and Subscriptions

EdocSmart offers both free and paid subscription plans>.

Each plan provides specific monthly or yearly document limits and features

Free Plan
  • Limited to predefined document scans per month.
  • Basic extraction and download functionality only.
Paid Plans (Silver, Gold, Platinum)
  • Each plan includes a fixed monthly document limit.
  • Once the limit is reached, scanning pauses until the next billing cycle.
  • Users can upgrade or renew plans but cannot downgrade during an active billing cycle.
Auto-Renewal
  • Paid plans will not auto renew at the end of each billing cycle .
  • You may cancel anytime, but access continues until the end of the paid period. Refunds are not issued for partial use.

Data Ownership and Usage

  • You retain full ownership of your uploaded invoices and documents.
  • By uploading documents, you grant EdocSmart a limited, non-exclusive license to process, analyze, and extract data solely for providing the service.
  • EdocSmart does not sell, share, or disclose your documents or extracted data to any third party without consent.

Accuracy and Liability

EdocSmart uses AI and OCR technology to extract data, but accuracy may vary depending on document quality and format.

We strive to ensure high precision, but we do not guarantee 100% accuracy.

You agree that:

  • EdocSmart shall not be liable for errors, omissions, or incorrect data extraction.
  • You are responsible for verifying extracted data before using it for accounting, tax, or compliance purposes.

Compliance and Security

  • All data is processed securely and stored in encrypted form.
  • We do not modify or alter invoices; we only extract data for analytical and reporting purposes.
  • Once a user’s invoice is scanned and results are generated and saved by the user, the original file is permanently deleted from our servers

Tally and Third-Party Integration

  • EdocSmart provides optional integrations (e.g., Tally connectors, API exports).
  • You are responsible for ensuring compatibility and proper configuration.
  • We are not responsible for any errors or data issues caused by third-party software or system settings.

Payment and Billing

  • Payments are processed through secure third-party gateways.
  • All fees are non-refundable unless required by law.
  • Any applicable taxes (GST, etc.) are the user’s responsibility.

Intellectual Property

All intellectual property rights in the EdocSmart platform, including software, design, AI algorithms, trademarks, and content, belong to EdocSmart Technologies.

You may not copy, modify, reverse-engineer, or resell any part of the service without prior written permission.

Termination

We may suspend or terminate your account if:

  • You violate these Terms;
  • You misuse the service (e.g., uploading illegal, fraudulent, or harmful documents);
  • Required by law or regulatory authorities.

Upon termination, your access will be revoked, but you can request a copy of your extracted data within 15 days.

Limitation of Liability

To the fullest extent permitted by law:

  • EdocSmart shall not be liable for indirect, incidental, or consequential damages.
  • Our total liability in any case shall not exceed the total amount paid by you in the past 12 months.

Changes to Terms

We may update these Terms periodically. Updated versions will be posted on our website, and the “Last Updated” date will change accordingly.

Continued use of EdocSmart after such updates means you agree to the revised Terms.

Governing Law

These Terms are governed by and constructed in accordance with the laws of India, and any disputes shall be subject to the exclusive jurisdiction of the courts of Ahmedabad, Gujarat.
